Position: Special Events Lead - Board of Directors (Elected)
Location: Stanley Park Community - 505 Franklin Street N. Kitchener, Ontario
Purpose of Position: To undertake the planning, execution and evaluation of special events benefiting the Stanley Park Community Association.
Position Supervisor: President
Direct Reports: Special Events Committee Member, Event Supply Coordinator
Duties and Responsibilities:
Plan, coordinate, budget for, and carry out special events on behalf of the SPCA along with the special events committee members. Examples of these events include the Halloween party, Christmas breakfast, Santa Calls, etc.
Oversee the special event committee to ensure events are delivered in a timely and coordinated manner.
Evaluate the success of events including performing a post-event review to document feedback and potential opportunities to enhance future events.
Network with Community Partners to develop relationships benefiting SPCA special events.
Work with the Event Supply Coordinator to ensure that events are executed within pre-approved budgets.
Create monthly board report, attend monthly board meetings, and facilitate Special Event meetings to gather information for planning requirements.
Work closely with the Publicity Lead to create effective ads for events including appropriate social media posts.
Work closely with the Volunteer Engagement Manager to ensure the appropriate number of volunteers are recruited for each event.
The outgoing Special Events Lead is responsible to provide training, orientation, and support to transition the role to the new volunteer.

Medium - Position has access to financial and confidential information.
Time Commitment:
Create monthly board report with updates on events.
Attend monthly board meetings (held the third Tuesday of the month from 7-9 pm).
Attend Special Event meetings (approximately four hours per month).
Provide support and guidance to committee members assisting them in leading events.
Complete any tasks assigned during meetings.
Attend the majority of events scheduled (including setup, event, and teardown). Must be able to attend events where you are the acting lead.
Qualifications:
Innovation and creativity in planning.
Attention to detail and ability to multitask.
Previous experience in some form of special event planning an asset.
A team player willing to take responsibility and lead a team of volunteers.
Previous leadership experience is an asset.
Excellent communication and organizational skills.
Self-motivated and a self-starter.
A desire to serve the community in an important function!
Training and Professional Development:
Basic Health and Safety, AODA, and evacuation training provided.
Facility Tour and overview of programs and events.
Training in specific software used by the Association (Google Suite).
Opportunities to attend workshops, meetings, and other training sessions pertaining to the position.
Training and orientation will be provided by the Volunteer Engagement Manager or outgoing Special Events Lead (if possible) within 8 weeks of acceptance of the position.
Supervision and Accountability:
Reporting to the Vice President, this role will include periodic check-ins on an as-needed basis
