Position: Stanley Park Ball Program Lead - Board of Directors (Elected)
The Ball Program Lead plays a key role in creating a fun, safe, and positive recreational experience for hundreds of children and families each year. By leading a dedicated team of volunteers, this individual helps ensure the successful planning and delivery of the Stanley Park Community Association's Blastball, T-Ball, and 3-Pitch programs. This is an excellent opportunity for someone who enjoys working with people, building community, and making a meaningful impact through youth recreation.
Purpose of Position The Ball Program Lead provides strategic leadership and oversight for the Stanley Park Community Association's youth ball programs. Working collaboratively with the leadership team, this role is responsible for planning, coordinating, and evaluating the program to ensure a positive experience for players, families, coaches, volunteers, and officials.

Key Responsibilities
Program Leadership
Lead the planning, coordination, budgeting, implementation, and evaluation of the annual ball program.
Collaborate with the leadership team to develop season timelines, establish key milestones, and coordinate operational priorities.
Provide leadership, guidance, and support to the program leadership team.
Ensure all areas of the program are delivered in a coordinated and efficient manner.
Evaluate the season and facilitate a year-end debrief to identify successes and opportunities for improvement.
Maintain and update program records, procedures, and planning documents to support continuity and ensure a smooth transition for future program leaders.
Promote the safe delivery of the program by ensuring organizational policies, procedures, and risk management practices are followed.
Volunteer Leadership
Work with the Volunteer Engagement Manager to recruit, interview, onboard, and support leadership team members.
Collaborate with the Volunteer Engagement Manager to recruit an appropriate number of coaches, supervisors, and other volunteers.
Provide coaching, guidance, and feedback to volunteers, coaches, umpires, and leadership team members.
Program Administration
Prepare monthly Board reports and attend monthly Board meetings.
Plan and facilitate leadership meetings:
Monthly (September–January)
Bi-weekly (February–June)
Year-end debrief (July)
Liaise with the City of Kitchener regarding permits and program logistics.
Coordinate coach orientation prior to the season.
Plan and oversee year-end celebrations, including pizza nights.
Communications & Support
Respond professionally and promptly to parent, player, coach, umpire, and volunteer inquiries or concerns.
Provide backup support for leadership team functions, including website updates, weather and field closure communications, score entry, and coach or parent communications as needed.
Transition Planning
Maintain and update key planning documents, templates, and procedures to ensure continuity from season to season.
Time Commitment:
This is an ongoing volunteer position requiring a minimum one-year commitment. A three-year commitment is encouraged to provide continuity and support long-term program success.
Meetings:
Monthly Board meetings (third Tuesday, 7:00–9:00 p.m.)
Leadership meetings:
Monthly (September–January)
Bi-weekly (February–June)
Year-end debrief (July)
Estimated Monthly Commitment:
Time includes meetings, email correspondence, planning, volunteer support, coach orientation, equipment coordination, year-end celebrations, and program oversight.
September - 10 hours
October to January - 6 hours/month
February to April - 10 hours/month
May to June - 12 hours/month
July - 3 hours
Qualifications:
Has excellent organizational and time management skills.
Demonstrates strong written and verbal communication.
Has excellent interpersonal skills and is comfortable communicating with families, volunteers, community partners, and municipal staff.
Can effectively lead and support a team of volunteers.
Demonstrates the ability to facilitate productive meetings and lead collaborative discussions.
Is detail-oriented and able to manage multiple priorities.
Has strong customer service and conflict resolution skills.
Is self-motivated and able to work independently.
Has previous leadership experience (preferred).
Has experience in recreation or youth sports (an asset).
Is passionate about serving the community and helping children succeed.
Training & Support:
Basic Health & Safety, AODA, and evacuation training.
An orientation to the Stanley Park Community Centre.
Position-specific orientation from the Volunteer Engagement Manager and, where possible, the outgoing Ball Program Lead.
Opportunities to attend workshops, meetings, and professional development sessions related to the role.
Supervision & Accountability:
The Ball Program Lead reports to the Vice President and receives ongoing support through regular check-ins and as-needed guidance.
