Purpose of Position: The Publicity Lead shapes how the Stanley Park Community Association communicates with residents, partners, and volunteers. This role blends creative storytelling, strategic planning, and community engagement to ensure programs, events, and volunteer opportunities are promoted effectively across all approved media channels. As the elected communications leader, the Publicity Lead oversees SPCA publicity strategy, manages two Content Coordinators, and ensures all messaging is timely, accurate, accessible, and aligned with SPCA values.

Location: Stanley Park Community Centre - 505 Franklin Street N. Kitchener, Ontario


Risk Assessment Level: Medium – This role involves managing advertising accounts, handling billings, and overseeing a budget.


Key Responsibilities


Strategic Communications Leadership

  • Develop and maintain an annual publicity strategy aligned with SPCA priorities.

  • Ensure consistent brand messaging across all digital and print channels.

  • Lead seasonal and program‑specific campaign planning.

  • Explore new advertising opportunities and evaluate their effectiveness.


Team Leadership & Workflow Management

  • Provide direction, coaching, and support to two Content Coordinators.

  • Delegate tasks based on workload, strengths, and deadlines.

  • Maintain clear workflow processes for content creation, approvals, and publication.

  • Support onboarding and training for new volunteers involved in publicity.


Content Oversight & Approval

  • Review and approve all major publicity materials before publication.

  • Creation of quarterly community newsletter.

  • Oversee SPCA communication channels, including social media accounts, website updates, and advertising platforms.

  • Ensure all content meets AODA accessibility standards and reflects inclusive community messaging.


Collaboration Across SPCA Programs

Work closely with:

  • Program Lead to promote new and existing programs.

  • Volunteer Engagement Manager to design volunteer recruitment materials.

  • Program Manager/Assistant to recruit instructors.

  • Special Events Team to create promotional materials.

  • Food Program to design content, highlight volunteers, and support donation drives.

  • President for general information and direction.


Digital & Print Communications

  • Advertise SPCA programs and events through free or approved paid media sources.

  • Maintain updated media contact lists, deadlines, and posting schedules.

  • Request updates to the SPCA outdoor sign through City staff.

  • Update the SPCA website with program registration details and upcoming events.

  • Assist with creating the SPCA program guide, including visuals and event listings.

  • Monitor and post on additional social media platforms as needed.


Crisis & Sensitive Communications

  • Coordinate timely emergency messaging during urgent or unexpected events.

  • Work with the President to ensure sensitive communications follow proper approval protocols.


Analytics & Reporting

  • Track social media engagement and advertising performance using analytics.

  • Adjust strategies based on data insights.

  • Submit a monthly report to the Board of Directors.

  • Provide quarterly summaries highlighting trends, successes, and opportunities.


Succession & Documentation

  • Maintain documentation for publicity workflows, tools, and processes.

  • Orient the incoming Publicity Lead during role transition.


Time Commitment:

  • This is an ongoing volunteer position requiring a minimum one-year commitment. A three-year commitment is encouraged to provide continuity and support long-term program success.

  • Meetings:

    • Monthly Board meetings (third Tuesday, 7:00–9:00 p.m.)

    • Program meetings (6 per year)

    • Approximately 10 hours per month preparing content, coordinating publicity, and supervising volunteers


Qualifications:

  • Excellent organizational and time‑management skills.

  • Strong written and verbal communication abilities.

  • Creativity and innovation in advertising.

  • Knowledge of graphic design and basic computer skills.

  • Experience in publicity or advertising (asset).

  • Ability to lead and support a team of volunteers.

  • Detail‑oriented and able to manage multiple priorities.

  • Self‑motivated and able to work independently.

  • Previous leadership experience (preferred).

  • Strong desire to serve the community.


Training & Support:

  • Basic Health & Safety, AODA, and evacuation training.

  • Facility tour and overview of the Stanley Park Community Association.

  • Position-specific orientation from the Volunteer Engagement Manager and, where possible, the outgoing Publicity Lead.

  • Opportunities to attend workshops, meetings, and professional development sessions related to the role.


Supervision & Accountability:

  • The Publicity Lead reports to the President and receives ongoing support through regular check-ins and as-needed guidance.
